03Candidate Information and Client Sharing
H&S will not submit a candidate’s profile or résumé to a client for a particular opportunity until the candidate has been informed about the opportunity and has approved that submission.
Before representing a candidate for an opportunity, we discuss the opportunity and the compensation associated with it.
Where a candidate has approved a submission, the information shared with the client may include experience, qualifications, skills, work history, location, availability, and résumé information.
If an opportunity does not move forward, H&S aims to communicate the outcome to the candidate.
04Information Disclosure
We may disclose information in the following circumstances:
Clients and prospective clients
Candidate information is shared with a client for a particular opportunity only after the candidate has been informed of that opportunity and has approved the submission, as described in Section 03.
Service providers
We may share information with service providers that support our operations, including hosting, email, communications, security, storage, recruiting, staffing, and general business operations. Service providers are expected to use information only as needed to provide services to us.
Legal and safety
We may disclose information where we believe it is required or permitted by law, or where we believe disclosure is reasonably necessary to comply with legal process, enforce our terms, investigate potential violations, or protect the rights, property, or safety of H&S, our clients, candidates, or others.
Business transactions
If H&S is involved in a merger, financing, restructuring, acquisition, sale of assets, or similar transaction, information may be transferred as part of that transaction.

05Screening, References, and Background Checks
Depending on the opportunity, screening may include:

- Role specific qualification against the client brief
- Reference checks when appropriate or required
- Background checks when appropriate or required
Not every opportunity will involve every screening step.
If a background check or other consumer report requires a separate disclosure, authorization, or notice under applicable law, that process will be provided separately.
Providing information to H&S through the website does not by itself authorize H&S to obtain a consumer report or background check.
06Data Retention
We retain information for as long as it is reasonably necessary for the purposes described in this policy, including responding to inquiries, carrying out recruiting and staffing activities, maintaining business records, resolving disputes, and complying with legal obligations. Retention periods vary depending on the type of information and the reason we hold it. When information is no longer needed for these purposes, we take reasonable steps to delete it or render it no longer attributable.
You may ask us to delete information you have provided by writing to the address in Section 13.

No method of transmission over the internet and no method of electronic storage is completely secure, and we cannot guarantee absolute security. You send information to us at your own discretion, which is why we ask that highly sensitive information not be submitted through the public website.

If you are a California resident, you may have rights under California law to request access to the categories and specific pieces of personal information we have collected about you, to request correction or deletion of that information, and to be free from discrimination for exercising those rights. We do not sell personal information and we do not share personal information for cross context behavioral advertising.
To exercise a right, contact us using the details in Section 13. You may use an authorized agent where permitted by law, and we may ask for proof of that authorization.
